Is it necessary to have original FCRA letter?

Dear friends
May you please write to me regarding FCRA permission letter from MOHA. We have registered trust from DELHI and had applied for FCRA  on 19th April 2014. It was November we went to J&K for relief work and there was no body in our Delhi office.
Ministry of Home Affairs FCRA department had sent a FCRA permission letter to our office.Since there was no body in the office,the post man didn`t deliver and was sent back to FCRA department. Which we came to know just two days ago from the post man.
Other hand,FCRA Department has sent one FCRA permission letter to the bank also where we have opened FCRA account.The Manager of the bank gave us a photocopy of the same letter the bank has received.In a letter FCRA registration is mentioned that means we are permitted FCRA.And I found our trust is permitted fcra registration from the website also.
Here my quiëry is  that “Is it necessary to have original FCRA letter that we supposed to receive from the post office from Ministry of Home affairs FCRA department or just knowing FCRA registration number and having its photocopy for our record? “
Please circulate this and write us fair reply.

    I agree that original copy of FCRA registration must be obtained and retained for future records. You should write to the Dept. stating that the letter has not been delivered to you. Otherwise as Shiva writes above, return of the FCRA registration could be construed by the Dept as orgaanisation’s address being incorrect.

    Dear Mr. Nazir,

    First and foremost one can definitely get the copy of the original certificate from the MoHA. Also, the copy sent to the bank is the copy that would come to the NGO as well. On the second page of the certificate, a line addressed to the bank manager mentioning the bank details is sent for the records of the bank.

    The same copy obtained from the bank can be retained by you. For any correspondence, the MoHA expects the copy of the FCRA certificate also to be sent.

    Dear Sir,

    Registration confirmation is ok although it is advisable to have original as well.

    As it may be needed at point of time like opening of account same may be required for verification purpose as per KYC Norms, audit point of view etc.

    It records or create bad image in MHA eyes but post has been returned back and never reclaimed

    1) I believe the renewal application in Form-5 has to be submitted online first, followed by hard copy along with enclosures by post. Is it correct or have we to send the same only through post?

    2) If online filing has to be done, when will that appear in MHA-FCRA website?

    3) What is the meaning of multi-year? Even if the project funding approval is for 2-3 years, have to take it as multi-year, in which case the filing has to be done before April 30th of 2015?

    I think a copy of the order issued will be sufficient for all legal purposes.

    However, in this case, Mr. Nazir Ahmed may write to the FCRA section explaining the situation and request for the original order. The department might have thought that the address is fake, as there was no one available when the postman reached their office. The Trust authorities should have left instruction at the delivery post office, when they have planned to be absent from their office for a long time.
